1. Who we are
This event platform (events.naspice.net) is operated by NA SPICE Network LLC ("NASPICE", "we", "us") for the North American SPICE Conference. This policy explains what personal information we collect when you register for a NASPICE event, sign up to volunteer, or use this site, and how we use and protect it. Our main website is naspice.net.
2. Information we collect
- Contact & professional details — name, email address, mobile phone number, company or organization, and (for volunteers) role preferences, availability and general location.
- Registration data — the events you register for, ticket type, approval status, attendee pass ID and QR code, and check-in time.
- Payment status — whether a registration is paid, waived or refunded. We do not store card numbers on this platform.
- Usage data — pages visited and form interactions collected through analytics tools (for example Google Analytics), plus standard server logs.
3. How we use it
- To process registrations, issue attendee passes and check you in on site.
- To send confirmations, schedule changes and other conference logistics.
- To coordinate volunteers and on-site operations.
- To produce aggregate attendance statistics and improve future conferences.
4. Email, text and WhatsApp messages
When you give consent on our forms, we send transactional messages about your registration by email and, where enabled, by text message or WhatsApp. These are operational messages, not marketing. You can opt out at any time by emailing info@naspice.net. Message and data rates may apply.
5. Sharing
We do not sell your personal information. We share it only with service providers that help us run the event (for example email/messaging delivery, hosting and analytics) under appropriate confidentiality terms, with the conference venue where needed for security, or when required by law. Sponsors receive attendee details only if you explicitly opt in at their booth (for example by having your badge scanned).
6. Retention & security
We keep registration records for as long as needed to run the conference and meet accounting and legal obligations, then delete or anonymize them. Data is stored on access-controlled servers, transmitted over HTTPS, and staff access is limited by role.
7. Your choices & rights
You may request access to, correction of, or deletion of your personal information by contacting us. Depending on where you live (for example California, Canada or the EU/UK), you may have additional rights under local privacy laws; we will honor applicable requests.
8. Changes
We may update this policy from time to time. The "Last updated" date above shows when it last changed.
